PIVOT update

We are now in the Testing Phase of our project. During the Testing Phase, multiple segments of tests are performed within Epic to validate the system prior to launch. This undertaking requires the collaboration of the PIVOT team, our project subject matter experts, and select Main Line Health end users to verify system functionality. The Testing Phase will continue until October 2017.

Training logistics

Required Epic eLearnings

  • All end users are required to complete pre-class Epic eLearnings.
  • eLearnings will be loaded into HealthStream by Monday, October 9, 2017.
  • eLearnings MUST be completed prior to attending in-person classroom sessions.
    • Progress will be monitored and end users who do not complete required eLearnings will not be allowed to attend their scheduled in-person session(s).

Training late policy

Staff who arrive more than 15 minutes after the start of a class will not be allowed to enter the classroom. Please allow ample time to walk from parking locations to classrooms.

Time clocks and training room access

In order to clock in and out for training, staff must have their Main Line Health ID badge with them at training. The PIVOT Cost Center, 04201, will be provided to employees to transfer their time.

Training dress code

If you are not working a shift on the same day of your training session, you are expected to be dressed in professional attire for training.

Training parking

Parking for Epic training has been designated at the following locations:

  • PIVOT Academy at Lankenau* – Lot C
  • PIVOT Academy at Bryn Mawr* – Bryn Mawr Avenue garage
  • PIVOT Academy at Paoli – Front garage (except street level)
  • PIVOT Academy at Riddle – West garage
  • PIVOT Academy at Ellis Preserve – East garage
  • PIVOT Academy at Malvern – Main lot
  • PIVOT Academy at Newtown Square – Main lot
  • PIVOT Academy at Radnor – Main lot or parking deck

*Parking will be reimbursed at these locations by operational leadership. If you park at another location at these campuses, you WILL NOT be reimbursed for parking costs.

Mileage reimbursement

  • If your commute to Epic training is greater than your normal daily commute…
  • Then you are entitled to be reimbursed for the difference between your normal commute mileage and your training commute mileage
  • If your commute to Epic training is not greater than your normal daily commute…
  • Then you are not entitled to be reimbursed for any mileage


  • Food will not be provided during classroom training sessions.
  • Each classroom session will have a 30-minute lunch break incorporated into the schedule.
  • Staff should pack their own meal(s) or plan to purchase food on-campus (where available) or off-campus.
  • PIVOT Academy at Ellis Preserve, Malvern, Newtown Square and Radnor have limited food options on site.
    • Staff attending training at these locations will need to bring their own food or find food locally.
  • Detailed flyers listing local food options, parking and directions will be posted on the PIVOT website and will be available at each training location. Please check PIVOT Academy and Inside PIVOT for these updates in the coming weeks.

Proficiency tests

  • At the end of classroom training, end users will be required to take a proficiency assessment.
  • A score of 80 percent or higher must be achieved in order to pass the assessment.
  • If an end user does not achieve a passing score of 80 percent, they will have the opportunity to schedule a retake at another time.

Reminder: Epic basic leave time restriction period

When Epic launches at Main Line Health on Saturday, March 3, 2018, we will need the active engagement and support of everyone Systemwide to make this transition a success. To ensure the engagement of all employees, Main Line Health has established a basic leave time restriction period during the period surrounding the launch of Epic. This basic leave time restriction period is scheduled for Saturday, February 17–Saturday, March 17, 2018, encompassing the two weeks prior to and the two weeks following launch. During this time, all basic leave time (BLT) will be restricted, with the exception of select events that require approval from a manager or an appointed designee.

  • Exceptions to this restriction period include life events (weddings, births, graduations, religious observances, bereavement and emergencies)
  • Requests for BLT during the restriction period must be approved by an employee’s manager or appointed designee
  • This procedure does not impact sick leave or FMLA
  • Managers and their staff should work together to proactively plan for BLT throughout the rest of the year as Main Line Health’s basic leave carry over policy will still remain in effect

This period will give all staff the ability to participate in this historic milestone. Please take note of this period and plan proactively to make certain this transition will be a success for our patients and co-workers.
